Think of it as your project specification.<\/span><\/p>\n<p style=\"padding-left: 60px;\"><span style=\"font-family: helvetica, arial, sans-serif; font-size: 14pt;\">3.2-<strong>Project needs:<\/strong> Everything you need in terms of resources to complete the project.<\/span><\/p>\n<p style=\"padding-left: 60px;\"><span style=\"font-family: helvetica, arial, sans-serif; font-size: 14pt;\">3.3-<strong>Deliverable:<\/strong>\u00a0What you would deliver to the customer<\/span><\/p>\n<p style=\"padding-left: 60px;\"><span style=\"font-family: helvetica, arial, sans-serif; font-size: 14pt;\">3.4-<strong>Features:<\/strong>\u00a0A list of all features the product will have at completion<\/span><\/p>\n<p style=\"padding-left: 60px;\"><span style=\"font-family: helvetica, arial, sans-serif; font-size: 14pt;\">3.5-<strong>Functions:\u00a0<\/strong>What functionality the product will have when delivered. How people will interact with the product.<\/span><\/p>\n<p style=\"padding-left: 60px;\"><span style=\"font-family: helvetica, arial, sans-serif; font-size: 14pt;\">3.6-<strong>Tasks:<\/strong>\u00a0All things that are needed to be done to deliver the product.<\/span><\/p>\n<p style=\"padding-left: 60px;\"><span style=\"font-family: helvetica, arial, sans-serif; font-size: 14pt;\">3.7-<strong>Milestones and deadline:<\/strong>\u00a0Define all milestones including the product&#8217;s delivery date.<\/span><\/p>\n<p style=\"padding-left: 60px;\"><span style=\"font-size: 14pt;\"><span style=\"font-family: helvetica, arial, sans-serif;\">3.8-<strong>Cost:<\/strong>\u00a0How much it cost to produce the product and how much will it cost the customer to use it.<\/span>\u00a0<span style=\"font-family: helvetica, arial, sans-serif;\">\u00a0 \u00a0<\/span><\/span><\/p>\n<h3><strong><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">4-Define outcome<\/span><\/strong><\/h3>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\"><a href=\"https:\/\/www.binfire.com\/project-management-software-demo\/\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-5858 size-full\" src=\"https:\/\/34.136.207.224\/blog\/wp-content\/uploads\/2019\/11\/Define-outcome.png\" alt=\"define outcome of the project\" width=\"583\" height=\"515\" srcset=\"https:\/\/www.binfire.com\/blog\/wp-content\/uploads\/2019\/11\/Define-outcome.png 583w, https:\/\/www.binfire.com\/blog\/wp-content\/uploads\/2019\/11\/Define-outcome-300x265.png 300w\" sizes=\"auto, (max-width: 583px) 100vw, 583px\" \/><\/a>You need to define clearly what would be the final outcome or goal of the project.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">The better you define the outcome the better your project will proceed and complete.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">To arrive at a good definition of the goal, the process should be a collaborative one.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">You need to make sure all stakeholders in the project have their input in defining the goal and agree to it 100%.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">Have a kick-off meeting to start formulating and defining the project goal.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">Document everything and share it among the stakeholders. Review with your team the document and refine it.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">Have a final meeting to approve the goal and get permission to start the development.\u00a0<a href=\"https:\/\/www.binfire.com\/project-management-software-demo\/\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-5601 size-full\" src=\"https:\/\/34.136.207.224\/blog\/wp-content\/uploads\/2013\/08\/Demo-Ad-1.png\" alt=\"Work breakdown structure demo\" width=\"960\" height=\"455\" srcset=\"https:\/\/www.binfire.com\/blog\/wp-content\/uploads\/2013\/08\/Demo-Ad-1.png 960w, https:\/\/www.binfire.com\/blog\/wp-content\/uploads\/2013\/08\/Demo-Ad-1-300x142.png 300w, https:\/\/www.binfire.com\/blog\/wp-content\/uploads\/2013\/08\/Demo-Ad-1-768x364.png 768w\" sizes=\"auto, (max-width: 960px) 100vw, 960px\" \/><\/a>\u00a0<\/span><\/p>\n<h3><strong><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">5-Align all\u00a0 stakeholders<\/span><\/strong><\/h3>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">As I mentioned in the above paragraph, you need to make sure all stakeholders agree on the goal of the project.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">Who are the project stakeholders\u2026 Anybody who works in the project or has an interest in the project outcome is a stakeholder. Some example of stakeholders are the executive team, customer, suppliers, and service provider<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">To align everybody is easier said than done, but your job as the project manager is to have a single vision and one source of truth for the project.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">To do so you need to get the stakeholders in one room and make sure all parties are willing to contribute and debate the outcome as thoroughly possible.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">It is never easy to have 100% agreement between a group of people. <\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">But, you need to make sure after a goal is defined and agreed to, everybody supports it and sticks with it.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">It is not an overstatement to say this step is the hardest step in how to manage projects.\u00a0 \u00a0\u00a0<\/span><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">\u00a0 \u00a0 \u00a0 \u00a0<\/span><\/p>\n<h3><strong><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">6-Plan and plan more<\/span><\/strong><\/h3>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">Now that you have a goal defined for the project, you need to start planning.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">Planning should be a collaborative effort and you need to make sure your team is involved.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">To plan your project start with creating a simple work breakdown structure (WBS) plan.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">Even if you decide to use the <a href=\"https:\/\/www.binfire.com\/blog\/agile-project-management-tutorial\/\" target=\"_blank\" rel=\"noopener\">Agile method<\/a>, a simple <a href=\"https:\/\/www.binfire.com\/blog\/work-breakdown-structure-complete-tutorial\/\" target=\"_blank\" rel=\"noopener\">WBS<\/a> plan goes a long way to make your project a success.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">Review and update your project plan as often as possible. <\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">One of the biggest issues with project planning is the fact that plans are not updated and kept up to date as needed.\u00a0<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">Using a good project management app goes a long way to make the project planning more structured and keep the plan up to date.\u00a0 \u00a0\u00a0<\/span><\/p>\n<h3><strong><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">7-Track everything<\/span><\/strong><\/h3>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\"><a href=\"https:\/\/www.binfire.com\/project-management-software-demo\/\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-5875 size-large\" src=\"https:\/\/34.136.207.224\/blog\/wp-content\/uploads\/2019\/11\/project-stakeholders-1024x368.png\" alt=\"project stakeholders\" width=\"1024\" height=\"368\" srcset=\"https:\/\/www.binfire.com\/blog\/wp-content\/uploads\/2019\/11\/project-stakeholders-1024x368.png 1024w, https:\/\/www.binfire.com\/blog\/wp-content\/uploads\/2019\/11\/project-stakeholders-300x108.png 300w, https:\/\/www.binfire.com\/blog\/wp-content\/uploads\/2019\/11\/project-stakeholders-768x276.png 768w, https:\/\/www.binfire.com\/blog\/wp-content\/uploads\/2019\/11\/project-stakeholders.png 1228w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/a>Planning is good, but without tracking, planning does not add much value!<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">You need to keep track of the status of your project daily and have a weekly review as to how the project is progressing.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">Project tracking is time-consuming and takes a lot of effort, but it needs to be done.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">A good project management software can help you with tracking.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">It is a great idea to have short status meetings every morning and ask each member of your team what they are working on? What they do next?\u00a0 If they are facing any issues or challenges?<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">Ask the team to update the project plan daily based on the above questions.\u00a0 \u00a0 \u00a0\u00a0<\/span><\/p>\n<h3><strong><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">8-Collaborate often<\/span><\/strong><\/h3>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">Sometimes people mistake communication with collaboration. You need to communicate for collaboration, but it goes further than that.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">If I tell you to do something, without telling you why and how it should be done, it is just communication.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">But if I tell you I have a problem that I want you to fix it and explain the problem and what I need to fix and ask you to brainstorm as to how to fix it, it is called collaboration.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">A lot of meetings are a total waste of time since they are used as a vehicle to gather information.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">Gathering information does not need a meeting. Use any collaboration tool to get and send updates.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">A meeting is useful only if it helps to discuss issues and the solutions for them.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">Throughout your project&#8217;s life cycle have short daily meetings to not only get status reports but inspire your team to do better.\u00a0 \u00a0 \u00a0<\/span><\/p>\n<h3><strong><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">9-Prepare for change<\/span><\/strong><\/h3>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">In projects like life, change is inevitable! You need to anticipate and plan for it.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">Your client changes her mind, the part you were planning to use is not available anymore, the competition has something new which will make your product not as useful without some changes.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">Most new project managers fail at anticipating change and dealing with it.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">It is OK to kill a project if external or internal factors merit so.\u00a0 \u00a0\u00a0<\/span><\/p>\n<h3><strong><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">10-Manage risks<\/span><\/strong><\/h3>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">Managing risk is another area were new project managers have difficulty.\u00a0<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">Like managing change, you have to identify and plan for issues that might arise during the project.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">What if a member of the team leaves the project for any reason?<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">What if the research we are doing on a subject fails to satisfy our requirements?<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">What if a key vendor fails to deliver a key part on time?\u00a0\u00a0<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">As a project manager, it is your job to document these issues and have a contingency plan for them\u00a0\u00a0<\/span><\/p>\n<h3><strong><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">11-Adjust and improve<\/span><\/strong><\/h3>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">One thing that both good army generals and good project managers know is that plans change when you start working on them.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">As the project progresses, you gain more insight.
