{"id":1527,"date":"2016-04-04T16:05:48","date_gmt":"2016-04-04T16:05:48","guid":{"rendered":"https:\/\/blog.binfire.com\/?p=1527"},"modified":"2026-05-24T18:22:55","modified_gmt":"2026-05-24T18:22:55","slug":"microsoft-project-fallen-behind-online-project-management-software","status":"publish","type":"post","link":"https:\/\/www.binfire.com\/blog\/microsoft-project-fallen-behind-online-project-management-software\/","title":{"rendered":"How Microsoft Project Has Fallen Behind Online Project Management Software"},"content":{"rendered":"<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">For those of us who started their careers in Project Management in the 1980\u2019s, Microsoft Project was considered the gold standard for Project Management software.\u00a0 Yet it is no exaggeration to observe that in the 32 years since the original product release, technology has revolutionized almost every aspect of our workplace and lives.\u00a0 For good and bad, Microsoft Project remained relatively consistent:\u00a0 a popular and powerful tool for project management that is also complex and clunky.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">It is well known that Project has never been a strategic priority for Microsoft, which is why it has made much higher investments in SharePoint and the rest of the Office business productivity suite.\u00a0 The result is that changes to Project have been incremental, with very little innovation seen in the last decade. The subject of why Microsoft Project has endured and survived in the <a href=\"https:\/\/www.binfire.com\/blog\/170-online-project-management-software-and-counting\/\" target=\"_blank\" rel=\"noopener\">overcrowded space of project management software<\/a> with such negligible advances in innovation is a\u00a0 \u00a0much discussed topic in the industry.\u00a0 In my opinion, Project\u2019s longevity boils down to three simple factors:<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">1)\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 <b>Inertia:<\/b> Simply stated, for many years Microsoft Project was the default and dominant non online Project Management tool.\u00a0\u00a0 It\u2019s the old mantra, \u201cif it ain\u2019t broke, don\u2019t fix.\u201d\u00a0 Also, the dominance of the Microsoft Office suite for information worker productivity created an environment where Microsoft was seen as a safe bet for IT decision makers.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">2)\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 <b>Fear of Microsoft:<\/b>\u00a0 Microsoft bundles Project into its enterprise agreement which is how many large organizations license their software.\u00a0\u00a0 For the corporate procurement groups that negotiate the purchase of software, it is easier to include the Project license than to unbundle a complex agreement.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\"><b>3)\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 <\/b><b>Lack of Alternatives:\u00a0 <\/b>Until the emergence of online project management software, there were few vendors with credible solution alternatives to Microsoft Project.\u00a0\u00a0 Perhaps the <a href=\"https:\/\/www.binfire.com\/future-of-project-management-software\/\" target=\"_blank\" rel=\"noopener\">online Project Management software<\/a> category was too small to justify interest and investment by the bigger industry players.\u00a0 <b><\/b><\/span><\/p>\n<p dir=\"RTL\" style=\"text-align: left;\" align=\"right\"><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">Notice what I left off the list:\u00a0 features and functionality.\u00a0 That\u2019s because there is almost nothing unique about Microsoft Project and in many ways it\u2019s a (costly) dinosaur. There is no denying that Microsoft Project is not robust and powerful (or your pick of clich\u00e9); but it is simply not unique.\u00a0<span style=\"line-height: 1.71429;\">\u00a0<\/span><\/span><\/p>\n<p dir=\"RTL\" style=\"text-align: left;\" align=\"right\"><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\"><b style=\"line-height: 1.71429;\">Microsoft Underwhelms the Market with the Release of Project 2016<\/b><\/span><\/p>\n<p dir=\"RTL\" style=\"text-align: left;\" align=\"right\"><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">A review of Microsoft\u2019s own publicity on new \u00a0<a href=\"https:\/\/blogs.office.com\/2015\/09\/30\/whats-new-in-project-2016\" target=\"_blank\" rel=\"noopener\">Microsoft Project 2016<\/a> shows that the latest product version continues a familiar pattern &#8211;\u00a0 incremental new features released every couple of years but no game changing innovation.\u00a0 Here\u2019s what Microsoft is touting<\/span><\/p>\n<p dir=\"RTL\" style=\"text-align: left;\" align=\"right\"><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\"><b>Resource Engagement:\u00a0 <\/b>I have to admit that Resource Engagement is a nice feature.\u00a0 It\u2019s a workflow tool to request and lock-down a new resource to a project. \u00a0It also notifies managers if they try to overbook someone for a project.\u00a0\u00a0 This is definitely something that can be helpful to a .Project Manager in a large Enterprise &#8211; which is the core of Microsoft\u2019s business<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\"><b>Resource Capacity Heat Map:<\/b>\u00a0 The use of color schemes to visualize over or under utilization of resources.\u00a0\u00a0 As a point of reference, this is a standard feature of the <a href=\"https:\/\/www.binfire.com\/resource-loading\/\">Binfire Resource Loading solution<\/a>.\u00a0\u00a0 However, insofar that Binfire keeps getting positive user feedback on this feature, I\u2019m not sure why Microsoft would stress what is essentially a nice-to-have.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\"><b>Timeline:\u00a0\u00a0 <\/b>Microsoft has dummied-down the Gantt Chart for no obvious purpose and created a spreadsheet type layout for timelines.\u00a0\u00a0 I\u2019ve spent time playing with the Timeline feature and am still looking for something unique or even compelling about it.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\"><b>Tell-Me:<\/b>\u00a0 The new \u201cTell-Me\u201d feature is actually a spruced up Help tool.\u00a0\u00a0 Once again, it\u2019s a nice-to-have but certainly not a game-changer for any online Project Management software.\u00a0 It is surprising that Microsoft would put its marketing muscle behind something is banal.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\"><b>Read\/Write Add-Ons:\u00a0 <\/b>Supportive of Microsoft\u2019s overall platform strategy, Project users will now have the ability to download extensions from the Office store.\u00a0 The problem with this \u201cbenefit\u201d is that I\u2019m not convinced that the extensions that are currently available today will make much difference to a Project Manager or the rest of the project team.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">\u201c<b>Availability\u201d:<\/b>\u00a0 After much hesitation, Project has made its first move to the cloud with the new Project Pro for Office 365 and\u00a0 <a href=\"https:\/\/products.office.com\/en-us\/Project\/project-online-portfolio-management\" target=\"_blank\" rel=\"noopener\">Project Online<\/a>.\u00a0 \u00a0\u00a0While it\u2019s an obvious move for Microsoft and one that has been predicted for a while, Microsoft\u2019s cloud strategy is murky at best.\u00a0 From the perspective of downloading the software and getting updates, being on the cloud is helpful.\u00a0 However, when it comes to delivering advanced functionality for remote workers, it is clear that Microsoft has not upped its game.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">Using the list that Microsoft itself provided, only one of the six features will be of value to most Project Managers or team members.\u00a0 \u00a0\u00a0In summary, Microsoft has not kept pace with the innovations that we see in online project management software and while Project remains in autopilot.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\"><b>How Microsoft Project Compares with Online Project Management Software.<\/b><\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">As a long time practitioner of Collaborative Project Management, I acknowledge that Microsoft has provided a strong offering for a number of years.\u00a0 The problem is that Microsoft has not kept up with changes in how teams collaborate and what is now expected from an online project management software.\u00a0\u00a0 As the CEO of Binfire I admit that I am biased towards my company\u2019s solution. \u00a0But as a long time project manager, I was able to identify trends in the marketplace which were ultimately incorporated into my company\u2019s software.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">I will outline six areas where Microsoft Project now lags behind Binfire and some of the other online project management software and online collaboration tools.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\"><b>User Generated Updates:\u00a0 <\/b>Perhaps the biggest drawback to a traditional software such as Microsoft Project is that it is the role of the Project Manager to update tasks when they are complete.\u00a0 With Binfire, a task member indicated when he or she starts and completes a task and the Project Manager is automatically updated.\u00a0\u00a0 Rather than expecting team members to send email updates to the Project Manager who then manually updates the project plan, a considerable amount of time is saved by empowering end users to update their own status.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\"><b>Real-Time Team Collaboration:\u00a0\u00a0 <\/b>Today team members require real time answer to questions relating to a project.\u00a0 We have incorporated synchronous social media tools such as chat directly into the online Project Management software, thereby keeping all real time communications within the application.\u00a0\u00a0 As a company Microsoft has solutions for real time communication, but these are standalone solutions not included in Project.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\"><b>Version Control:\u00a0 <\/b>Project Managers working on a Microsoft Project planning document are often faced with the issue of version control.\u00a0\u00a0 The question of who is responsible for each section and which version everyone is working on can cause confusion and miscommunication.\u00a0\u00a0 With Binfire, there is no way for a mistake to happen because there is only one version made available to everyone with system access.\u00a0\u00a0 A change made by one team member is automatically visible to the entire team.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\"><b>Flexible and Integrated Gantt Chart:\u00a0 <\/b>With Binfire the Gantt Chart is completely integrated with the Task List and a change made in the Gantt Chart view automatically updates the Task list.\u00a0\u00a0 By clicking on a task within the Gantt, one can extend its duration or even mark it as complete.\u00a0 \u00a0\u00a0Although this is not a revolutionary innovation, it can shave hours off administrative project management tasks.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\"><b>Document Collaboration:\u00a0 <\/b>Microsoft has a world class document collaboration platform.\u00a0 Unfortunately for Project users, the tool is called SharePoint and it is completely separate from Microsoft Project.\u00a0\u00a0 With Binfire, all project related documents are stored within the tool and uses can comment and flag issues relating to the document.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\"><b>Brainstorming:\u00a0\u00a0 <\/b>\u00a0In today\u2019s distributed work environment, colleagues often lack the opportunity to brainstorm in person.\u00a0\u00a0 At Binfire we have created an Interactive Whiteboard so that team members can brainstorm with each other regardless of geography or time zone.<\/span><\/p>\n<p><span style=\"font-family: helvetica, arial, sans-serif; font-size: 18pt;\">These are just a few examples of the differences between Microsoft Project and
